Invitation for the opening ceremony and Pre-Booked Ticket for exhibitor A. Invitation for the Opening Ceremony The invitations for the Opening Ceremony shall be given to all Exhibitors who fill out the Form 13 or 14 , and returned the form to the Organizer not later than June 12, 2009.<br><br> The Opening Ceremony Invitations is valid for the Opening Ceremony only and the entrance to the exhibition area on July 24, 2009 (VIP/Press Day). B. Entry Ticket Each Exhibitor will receive 1 (one) weekend ticket for every 10 sqm of the total exhibition space.<br><br> Exhibitor may request additional entry ticket by submitting the Form 12 to the Organizer not later than June 12, 2009. Each additional ticket will be charged Rp 20.000 (twenty thousand rupiah) for weekday ticket and Rp 30.000 (thirty thousand rupiah) for weekend ticket. 10.<br><br> Passes A. Authorized Exhibition Passes (ID Card) Each Exhibitor is entitled to receive 1 (one) exhibitor pass for every 10 sqm of the total exhibition space. Exhibitor with less than 30 sqm area of exhibition is entitled to receive 3 (three) Exhibitor Pases.<br><br> Exhibitor may request additional exhibitor by submitting the Form 11 to the Organizer not later than June 12, 2009 Each additional exhibitor pass will be charged Rp 150.000 (one hundred fifty thousand rupiah) Exhibitors is not allowed to exchange or lend their Exhibitor Pass to other parties. In the event of such violation, the Organizer will revoke the Exhibitor Pass. B.<br><br> Contractor Pass (ID card for exhibition contractors) Free Contractor Pass is given upon request from Exhibitor, and is valid during set-up and dismantling period only. For contractors building special design stands with area more than 100 sqm, 1 (one) Exhibitor Pass is given for every 50 sqm of the stand which they build. The pass will be given upon the submission of the picture of the concerned ID 9s holder is submitted to the Organizer, and administration fee is paid (submit the Form 9 to the Organizer not later than June 12, 2009).<br><br> C. Artist & Delivery Person Pass /Temporary pass Temporary Pass may be obtained at the Organizer 9s office by filling in the registration book, and leaving ID card/KTP as guarantee. Delivery and Removal The following regulations shall provide general rules which exhibitors, contractors, and other relating parties are required to comply with in the processes of planning, designing, and operating displayed goods: To create a more comfortable, easy-to-visit environment that satisfy visitors. To secure visitor traffic routes that give sufficient consideration to the safety of large numbers of visitors, and enable visitors to move around the venue easily.<br><br> To ensure that each company 9s space is entirely self-contained, and causing inconvenience to adjoining spaces, for example with sound, lighting, or crowsresulting from performances, exhibits, etc. Apart from exhibition expenses which shall be borne by the Organizer, each exhibitor shall be responsible for all operational expenses incurred. Each exhibitor and/or his representative shall be required to pay to the organizer every charge of transactions in Indonesian Rupiah, including those for additional facilities and other charges within deadline as provided by the Organizer.<br><br> 1. Setup and Dismantling Period A. " For any delay caused by exhibitors and/or their contractors, penalty for extended working hours will be charged in accordance with effective regulations. Delivery And Removal of Exhibits During The Show If delivery or removed of exhibits are needed during the Show, prior notice to the Organizer iss be required.<br><br> Delivery or removal work may only be started 30 minutes after the Show closed (at 22.00), with the supervision by the Organizer. When changing display vehicles in the venue, Exhibitors are prohibited to neither dirty nor damage the carpet in the common passageway. The usage of carpet or any form of cover is required to cover the every passageway that will be passed by the concerned display vehicles.<br><br> When moving vehicles that requires to start engines, Exhibitors shall be required to give prior notice to the Organizer. Vehicles may be moved only when the Exhibition is closed for public. Exhibitors shall be required to ensure the safety and ventilation of the exhibition venue by keeping the exhaust gas at the minimum level and turning off AC of the vehicles.<br><br> The exhibitors shall not leaving display goods without any supervision. Any loss(es) during the setup and dismantling period are under the responsibility of the exhibitors. Notification of Stand Contractor ( Form 8 ) Exhibitors are suggested to choose stand/booth contractor with reasonable workload to ensure that the booth construction will be completed in manner. Each contractor shall be charged Rp.25.000/sqm consultation and administration fees.<br><br> Such fees will only be applicable to booth with the size of 100 sqm or above. ( Form 9 ) Exhibitors and contractors are be required to arrive on time and to work in the schedule stipulated by organizer. Smoking is prohibited during set-up, delivery, and removal works. Smoking is allowed only at the outside of exhibition area (outdoor area).<br><br> Painting works are prohibited within exhibition hall except for those using materials having approved for repair work. The use of hazardous materials shall be kept at minimum. Painting works shall be required to be carried out at the locations away from inflammable materials, and fire extinguishers should always be kept at hand.<br><br> Decorative materials are prohibited to be piled in areas near passageways/exhibition area, evacuation exits, or fire- fighting equipment. Everyone entering working area/exhibition area is required to wear safety helmets and protective shoes(covering all parts of feet). Those who are not wearing protective shoes shall not be allowed to enter the exhibition area.<br><br> Exhibitor and contractor are prohibited to paint, nail wall and floor, and damage the floor, wall and roof of the exhibition building with an air compressor. In case of such violation, Exhibitors will be imposed penalty based on the extent of damage, and the Organizer shall confiscate such compressor. Exhibitor is prohibited to display products that produce smoke, heat, scent, and that may cause fire or may endanger booth and disturb the surroundings of the exhibition area.<br><br> The Exhibitors who violate this regulation will be imposed a penalty in accordance with the extent of the damage. 6. Requirements to Dismantle Stand The detail schedule to remove materials from booth will be informed at the time of Technical Meeting 2 by Project Officer of each Hall.<br><br> The Organizer will not be responsible for any damages and loss of displayed materials when such displayed materials are not removed after the scheduled time for such removal lapses. It is not allowed to dismantle booth by collapsing the entire booth at once. booth shall be required to be dismantled by part.<br><br> When August 3, 2009 by 18:00 West Indonesian Time on the stand dismantling, any displayed materials remain, or Exhibitors do not remove the parts of stand, the Organizer shall dismantle and ship them to the concerned Exhibitors. The concerned Exhibitors and their contractors are fully responsible for the dismantling works, and all incurred. Disposal of Waste Exhibitors shall be responsible for bearing any costs for the appropriate disposal of materials and waste left during the period of the Show (including installation and dismantling). Cleaning work in the entire exhibition site is the responsibility of the Jakarta International Expo (JIExpo).<br><br> Exhibitors shall be responsible for wastes which caused by each booth during the periods of booths building, show days and dismantling. The organizer has appointed disposal consultants, who supervise cleaning works during the construction and dismantling period. Constructions Works, Regulation, Electricity and Other Facilities SPECIAL DESIGN STAND The stand is build by exhibitor own contractor by observing following details : 1. Materials In Exhibition Stand Materials used for exhibition stand must be incombustible, semi-incombustible, or flame-resistant.<br><br> Exhibitors, however, may use combustible materials, provide that there are compelling and logical reasons, with the approval of the Organizer. The materials such as plywood, carpeting and other floor coverings, sheets for construction use, curtain materials, and other textile materials are required to be flame-resistant. All materials used for constructing and decorating the stand must comply with building regulations and fire-safety regulations.<br><br> The materials must neither emit toxic gas and smoke nor drip while burned. The use of materials, which explode or inflammable, are not permitted during the Exhibition. Properties of the materials are required to be tested by the manufacturer and documented in the form of a test certificate.<br><br> Exhibitors and their contractors are required to request the test certificates for the materials used from the manufacturer as the Organizer may examine the certificate during the setting up and show day periods. For the safety of all Exhibitors, Exhibitor is required to submit specifications on mass, materials, and precision of the materials to the Organizer. glass materials used, Should be approved by the Organizer.<br><br> The edges of glass panes must be machined/blunt or protected such. Please note that if the glass is used as floor, overhead parts, or partition materials, it is used only is 4 m above the hall floor and as a guard against falling. Works Relating to Hall Structure It is prohibited to use the existing ceilings, walls, piping, or wiring in the hall.<br><br> It is prohibited to work directly on ceilings, walls, pillars, doors, windows, glass, movable partitions, or lights of the hall. Accesses to fire-fighting and prevention equipment, such as fire hydrants, gas fire extinguishers, water sprinklers, fire alarms, smoke detectors, and evacuation signs shall not be allowed to be covered with decorations or construction of Exhibitors. All decorations and stand constructions are required & allow evacuation accesses and security.<br><br> Decorations and exhibition stands must not block the air-conditioners. If a stand blocks gas fire extinguishers, the materials used to construct the stand shall be required to be removed easily. 3.<br><br> Stand Construction Permit Each Exhibitor is required to compile the design of stand/ booth, and obtain the approval of the organizer in advance. The designs shall be received by the Organizer not later than June 12, 2009 . The Organizer will give a collective approval in the technical meeting.<br><br> The 17 th Indonesia International Motor Show --- Page 17 The Organizer shall be fully entitled to control design concept, construction, and other subjects relating to stand designs, and also to modify stand designs in the case such designs do not conform with the provisions mentioned earlier. In the case of violation of standard design, and inconformity of construction and dismantling with the standards designated by the Organizer, the Organizer is entitled to demolish, to alter or to modify the design. 4.<br><br> Design Guidelines A. B.<br><br> Height Restricted Zones These rules shall be applied to booth covering 90sqm or more area such as: Zone A Distance between the marking line and the inside of the booth is 3(three) meters. The zone is also named as the clear zone because no wall is allowed to be built in the zone. Zone B The construction of a tower/pylon or partition in this zone is allowed, with the consideration of maximum height of massive wall regulated in each area.<br><br> Distance of this zone is remain of Zone A meassured from the marking line to the inside of the booth. Booth Partition / Booth Walls The minimum distance between wall of the building to the partition of booth wall is 2 (two) meter.<br><br> Every backside of wall or partition should be covered and painted neatly. The maximum height of the stand wall is referring to the zone area. D.<br><br> Pylon Pylon shall not be fixed to the wall or partition of other booth. The maximum height of pylon please refer to Table 3.1. E.<br><br> Stage and Levelling Maximum height of stage is 80 (eighty) cm from the building floor Maximum height of booth levelling is 15 (fifteen) cm from the building floor Every levelling in each booth is be required to consider the safety and comfort of visitors. Each Exhibitor should provide facilities for the disabled visitors and visitors with wheel chairs (Ramp). F.<br><br> Double Deck The building of two or more storied booths is only allowed in the Hall A, Hall B, and Hall D. Such construction is subject to 50% extra rental fee of the rented area. The double decker design shall be required to comply with the regulation regarding total construction load permitted by the Organizer, and with prior discussion with the hall management.<br><br> Exception In the event of blocking a hydrant, the exhibitor should leave the nearest wall of the hydrant uncovered. 5. Submit the Compiled Stand Design Drawings Deadline A To prevent violation of regulations, misinterpretation, and problems related with security and comfort of other Exhibitors caused by performances at a stand or the installation of a loudspeaker, each exhibitor is required to submit the Organizer two copies of documents listed below as soon as possible in order to obtain an approval of the Organizer.<br><br> The deadline to submit such documents is June 12, 2009. Should the exhibitor intends to change the approved plan, the revised documents must be re-submitted for re-approval. B Documents to be submitted: Layout plan to display goods, exhibition facilities Plane as well as vertical drawings of each item, with accurate and clear dimensional descriptions for each presentation.<br><br> 6. Regulations for Use of Utilities A. Electricity General Lighting In Exhibition Halls The standard lighting in the Exhibition Halls consists of fluorescent high-voltage mercury vapor lamps, which provides indoor illumination of 450 to 500lx.<br><br> Application to Use/to Increase Allocation of Power Capacity If any company intends to increase the allocation of power capacity to their exhibition booths, they may apply by submitting the prescribed electricity installation (form 1), by June 12, 2009. Delay in submitting the form is subject to a penalty amount shall be decided later by the Organizer. Requirements and conditions to subscribe/install electricity All electrical power sources shall come from JIExpo building.<br><br> The Organizer guarantees the availability of electricity connection, supply and stability. The exhibitors using power supply cables shall bear expense of the installation When an Exhibitor requires stable voltage and frequency, or special voltage or frequency, the Exhibitor is required to install devices accordingly. The installation of electricity from the main panel to each stand shall only be carried out by the Organizer while the electricity installation within each stand has been done by a contractor appointed by Exhibitor.<br><br> When the usage of electricity exceeds the load stated in application form, concerned Exhibitor shall be charged twice of the effective tariff for such over- loading. Exhibitors shall be required to pay attention to security regulation standard, and only use high grade cables (NYM). It is not allowed to install electricity power exceeding provided MCB capacity.<br><br> Exhibitors shall not be allowed to use power generator as the source of extra power that they require. The official contractors appointed by the Organizer together with the Exhibitors 9 stand contractors shall test the power supply. When an Exhibitor violates any provision in these electricity installation rules, and does not comply with regulations and warnings given by the Organizer, the Organizer shall give the sanction to the concerned exhibitor to cut off power supply.<br><br> D. Electrical Work Stand contractor appointed by each Exhibitor shall carry out power installation work in each stand with attention to effective regulations. Connections to the power supply network and the laying of cables outside of stand area may only be carried out by and under the supervision of the responsible personnel of the building management.<br><br> Each stand is equipped with a service ducts in the hall floor. Cables are laid from there to the desired connection point at each stand. All cables are laid under ground.<br><br> Therefore, Exhibitor shall be requested to compile a floor plan sketch, the positioning of the terminal connection cables, and cable routing to the connections. Power cables must be protected to avoid any damage to the cables. Exhibitor who take along personal computer, and other electronic machine must equipped with stabilizer.<br><br> Electrical diagram (form 27) shall be received by the Organizer not later than June 12, 2009. Organizer is not responsible for any damage caused by installation faulty. The 17 th Indonesia International Motor Show --- Page 21 E.<br><br> Maintenance Of Electrical Equipment Each Exhibitor is fully responsible for maintenance of all electrical equipment used within their booths. To prevent possible accidents and to minimize damage, the electrical contractor of each stand shall be required to be always present at each stand during Exhibition hours. Each Exhibitor is required to turn off power switch in their booth after exhibition is closed for public on each day.<br><br> Every day the Organizer shall turn of power supply from main electric panel after exhibition hours. The Organizer shall not be responsible in any way for any damage of exhibition items due to instable power supply, power failure, or drop in voltage as the result of any accidents. Therefore, Exhibitors shall be advised to install protective devices to prevent such damage.<br><br> F. Communication Services Exhibitors, who need telephone line to be installed at their booths, may fill telephone installation form (Form 2) , and submit before 12, June 2009. Available types of telephone line are : Local Function : Calls made are only for local area (within Jakarta).<br><br> This facility can be used for Fax for local area, and merchant machine as well. SLJJ Function : Calls can be made for local, national long distance calls and fax, cellular calls, and merchant machine. Usage over deposit balance will be charged based on tariff of PT.<br><br> Telkom + 10% VAT. Telephone equipment will be installed at booths on July 23, 2009. The exhibitors must return the equipment to the Organizer 9s office at each exhibition hall in the presence of Organizer staff.<br><br> Exhibitors are responsible to pay for stolen, lost, or damaged equipment. Each Exhibitor is advised to take adequate preventive measures against such loss. Please contact the organizer, in the case exhibitors wants to make an International calls.<br><br> G. Water Supply And Drainage Services If any exhibitor intends to have water supply and drainage facilities within their booth, application should be made by submitting the prescribed Water Supply and Drainage Usage (Form 3) to the Organizer before June 12, 2009. The water sully installation fee is Rp.<br><br> 1.000.000.- including the charge for 5m 3 water supply. Each stand contractor is responsible to install water supply devices within the stand. To control the noise in the exhibition halls, the use of loud speakers in the stands is restricted as follows: A. Volume Limit Speaker volume must exceed 85dB at the stand borderline facing common passage ways.<br><br> Exhibitors planning to use loudspeakers for a product demonstration shall be required to coordinate the timing with other exhibitors in advance. Exhibitors located close to other exhibitors holding press briefings on Press Days are prohibited to using loudspeaker or other sound equipment in the same hall until the briefings are completed. The measurement at the stand borderline will be based on the sense of human hearing and will be done at the place 1.5 m from the borderline.<br><br> To ascertain the sound source, laser pointers may be used if necessary. Performance in The Exhibition Area Exhibitors that would like to perform a show must comply with below rules : a.<br><br> The performance must held in accordance with product knowledge. The performance must be held inside the exhibitor stand area. b.<br><br> Every exhibitors must notice safety of every visitor. The performance may not disrupt visitors traffic flow in gangway area. And the performane may not disrupting other stand (bashing to hard, disrupting light effect, artificial smoke, etc) c.<br><br> If there any out of control problem, the organizers entitled to stop the performance and reschedule it. d. Reguler Performance Regulation The performance must perform based on schedule that agreed earlier The performer only allowed to show soft accoustic music or use minus one Full band instrument such as drum set, bass electric, guitar electric, and keyboard are prohibited e.<br><br> Special Performance Regulation Special Performance is a program in the exhibitors stand performing well known artist according to national and international music industry and has a certain value. The show must have written permission from the organizer. Exhibitor must submit a show that has a special performance.<br><br> The organizers have the right to allow or refuse show that have been submitted by the exhibitors. The produced sound has a total sound system no more than 100 dB SPL. Meaning that the produced sound no more than 95 dB SPL, in order to achive below 100 dB SPL The performance must perform based on schedule that have been agreed earlier The 17 th Indonesia International Motor Show --- Page 28 5.<br><br> Regulation on promotional activities a. All exhibitors must fill Form 20 that contain with detail specification about the product display during the show days (name, model, etc) before 12 June 2009. Every change of the product display must be inform by exhibitors.<br><br> b. Product Demonstration Exhibitors shall not be allowed to distribute promotional goods, such as souvenirs and brochures outside each stand area. Exhibitors may demonstrate their exhibits within their stands, and shall be responsible for every possibility of mis-conducts (such as fire, accident, and damages caused by such demonstration).<br><br> The demonstration that causes loud sound or shattered glass is only allowed to be done in closed room located inside the stand. When installing turntables and other equipment within exhibition area, Exhibitor is required to pay attention to safety during operation in order to ensure that fingers, hands, feet, clothes, and other things may not be caught in. Exhibitors may be advised to temporarily halt the operation of such equipment when the area becomes crowded with visitors.<br><br> Durability of equipment to be used shall be measured in order to prevent burning of such equipment, for example, burning of lighting due to overheating. Exhibitors shall be required to take preventive measurement during each demonstration program at stand area, especially when generating loud noise, vibration, glaring lights or beams, and artificial smoke, in order not disturbing visitors/not making visitors uncomfortable. Engine of a vehicle (excluding electric vehicle) exhibited in the exhibition hall shall is not allowed to be operated.<br><br> The horns of all exhibited vehicles must not produce make any sound. Demonstrations using of smoke-emitting equipment are not permitted in the exhibition halls (except artificial smoke) as such demonstrations may activate fire extinguishing system in exhibition area. The Organizer shall be entitled to take any necessary actions when any demonstration program is considered threating the security in exhibition area, cause visitors feeling uncomfortable, and violate regulations.<br><br> The Organizer will be entitled to terminate such program when necessary. c. Stand personnel All stand personnel, including operational staffs, drivers, and stand attendants are required to always be present during opening hours of the exhibition.<br><br> For the convenience of visitors, each stand personnel is required to wear an ID indicating their duties. Every stand personnel must be located in their own stand d. Mascot Every brand mascot are prohibited to walk around the exhibition area except in their own stand e.<br><br> Happening Art Every happening art must be performed within the booth. f. Individual press conference The organizer is entitled to arrange the schedule of each press briefing.<br><br> It is advised that exhibitors hold such press briefing on the first day of the exhibition; Friday, July 24 th , 2009. Placement Of Fire Extinguishers 1.<br><br> Fire extinguishers must be placed as follows: In each area where the restrictions of the above-mentioned prohibited acts are a little bit eased, at least at least one fire extinguisher with sufficient performance capacity (generally for fires of Grade 2 and Grade 3) must be installed. A sign clearly indicating the location of such fire extinguisher should be available. Fire extinguishers must be placed at the locations which can be reached easily.<br><br> Fire extinguishers must not be placed at the locations which may block the access to passageways or emergency exits. Fire extinguishers to be used shall be required to be inspected regularly. Protection Of Visitors and Displayed Goods While the Organizer will take various measures to protect visitors and to keep the exhibition facilities in good order, such as by deploying management staff and security guards. Exhibitors must ensure that their stands are supervised/ kept in good order by their personnel during opening hours, who control and protect visitors and displayed goods.<br><br> The Organizer shall not be responsible for any losses caused by theft, fire, or damage during the exhibition (during operational hours). Exhibitors shall be advised to take necessary precautions, such as ensuring that the items are locked up or chained, and insured against damage, loss, or fire. In the case of any damage or loss having occurred in a display stand, the exhibitor shall be advised to immediately report to the Organizer.<br><br> During the exhibition period, including during the delivery and removal of exhibits, each exhibitor shall be required to insure their displayed goods against every possible damages caused by accidents during exhibition. j. Food Supplies In Stand To avoid air polution cause by smoke, exhibitors are not allowed to build kitchen inside stand area.<br><br> Electrical equipment that can be used in the hall (ex: electrical heater) must be placed above the fire-resistant surface and at least 1m distance from not-fire-resistant material. It is prohibited to make an ignition and combustion inside stand. Water disposed through communal waste pipe shall not exceed pollution limit.<br><br> The disposal water must be filtered if contamined by oil and lubricant. Shuttle Bus The Organizer provides free shuttle bus service for visitors and exhibitors from parking lot to the nearest 17 th Indonesia International Motor Show gate entrance. 2.<br><br> Musholla /prayer room (including Friday 9s Praying) The Organizer provides a mushola at the JIExpo area and visitors intending to do the praying. 3. Smoking Area The JIExpo exhibition area is a non-smoking exhibition venue.<br><br> Hence, smoking may only allowed outside of exhibition areas. 4. Food And Beverage Area In order to maintain clean and comfortable environment of the exhibition, we require all exhibitors not to eat and drink at exhibition areas (inside stand).<br><br> The Food and Beverage Area located in the Hall E of the JIExpo. 5. Ambulance And Medical Room The Organizer provides an ambulance, a doctor, and paramedics available when any health and medical assistances shall be required by exhibitors and visitors.<br><br> 6. Business Center A room functioning as a business center equipped with online computers, typewriter, telephone, facsimile, and other facilities shall be located inside area of the JIExpo. The usage of such facilities shall be subject to the service rates charged by the JIExpo.<br><br> 7.
