All reservations and agreements are subject to the following policies: 1. GUARANTEES In arranging for functions, the attendance must be definitely specified and communicated at least ten days in advance.
This number will be considered a final guarantee, not subject to reduction. You may increase final count up to five days in advance. Orchard Creek Ballroom will be prepared to serve five percent (5%) over the guarantee.
A $5.00 ++person service charge plus the regular meal charge will apply to serve any guests that show above the 5% final guarantee. All food charges are based on customers 9 guarantee of attendance or the actual number of guests served, whichever is greater. The attendance listed on the contract will automatically become the guarantee if the catering office is not advised by the ten-day deadline.

Every effort will be made to serve those additional guests the same menu, however a menu substitution may be necessary. 2.<br><br> CONFIRMATION AND DEPOSITS To confirm space for your event, the entire room charge for the specified number of hours of the event must be paid in advance. Orchard Creek Ballroom does not hold space on a tentative basis. In the event that any catering function is to cancel, the deposit shall then become the property of the Sun City Lincoln Hills Community Association.<br><br> All monies paid are non-refundable. Further, any catering function, which cancels 30 days or less prior to the booked date will be subject to cancellation fees equal to the anticipated food and beverage revenues. All cancellations must be received in writing.<br><br> Catering Policies Page 2 3. PAYMENTS Cash, check or credit card shall pay all food and beverage events five days prior to the scheduled event. The person in charge of the event or his/her representative will approve banquet checks.<br><br> Any discrepancy in the billing amount must be resolved at this time. A refundable security deposit of $250.00 or credit card number on file may be applied to events with a refund due with-in two weeks after the event date. 4.<br><br> MENU SELECTION Your menu selection should be submitted to the Catering Manager no later than four weeks prior to your scheduled event. Any Menu changes made less than ten business days prior to the event may be subject to additional surcharges. No outside food or beverage will be permitted on the premises by the guests.<br><br> No food or beverage is to be removed from the facility due to liabilities and insurance regulations. If more than 2 plated items are selected, an additional charge of $3.00 will apply to the third item. 5.<br><br> ALCOHOLIC BEVERAGES Upon request, a portable bar can be provided within your private banquet room. A $30.00++ per hour bartender fee per bar will apply. A guarantee of $200.00 in bar sales per bar is applied to both No Host and Hosted functions or a charge for the difference will be added to your bill prior to being presented the final bill.<br><br> If the bar is Hosted for weddings, the Bridal Party 9s name is listed. Any changes in signage must be requested in writing to the Catering Department. A corkage fee of $10.00++ per 750ml (magnum bottles are not allowed) will apply to every bottle opened.<br><br> Orchard Creek Lodge will not be responsible for spoilage, any uncorked bottles not consumed or any bottles left at the facility after the event. No beverages may be brought in without prior approval. 6.<br><br> DAMAGES AND LIABILITY Customer hereby acknowledges that Customer assumes all liability for any loss of or damage to any of Customers merchandise or articles used at the facility whether such loss occurs prior to, during or following customers 9 functions. Customer shall be solely responsible for and shall immediately reimburse Orchard Creek Lodge for any damage or loss of property to the premises caused by Customer, Customer 9s guests, invitees, employees, independent contractors or other agents of Customer. Customer shall indemnify, defend and hold harmless Sun City Lincoln Hills Community Association, Inc.<br><br> against any and all claims, losses, damages or liability arising out of or relate to Customer 9s functions irrespective of whether such claim, loss, damage or liabilities arise from active or passive activity. FUNCTION ROOMS The guaranteed minimum number of people anticipated assigns function rooms.<br><br> Orchard Creek Lodge reserves the right to change groups to a room suitable for the attendance if the attendance drops. Access to function rooms is not to exceed two hours prior to the start of the banquet event. Event functions are limited to the rooms specified in the contract.<br><br> It does not include any other rooms in the facility. No tacks, staples, nails, adhesives are to be used to affix any signs, banners or decorations to the walls or windows. All cables and cords must be taped down in all areas and may not run across any walk paths or areas that may cause guests to trip.<br><br> All Aisle runners must be taped down on the entire surface. Aisle runners are not allowed on grass unless rented from Sun City Lincoln Hills. If on the day of the event, the contact changes the room set up as specified on the catering contract, a minimum $50.00 labor charge will be posted to the bill&.<br><br> no exceptions. Smoke machines, bubble machines or dry ice are not allowed. No rice, birdseed, confetti or glitter allowed on the premises.<br><br> Loss of deposit will occur if used. A $250.00 fee will apply to all events wishing to have tables removed or changes during an event. 8.<br><br> ADVERTISING Any and all advertising in conjunction with your event must be approved by the Sun City Lincoln Hills Community Association, Inc. prior to publication and distribution. 9.<br><br> SECURITY Guests may be required to have security present at their own expense. Arrangements will be made prior to the event by the Catering Department at the prevailing rate per hour per security guard beginning at the time the function commences until one hour after the function ends. 10.<br><br> AUDIO VISUAL Audio-visual equipment is available with advance request and charged at prevailing rates. Rental prices are subject to sales tax. 11.<br><br> TIME LINES Guests will be admitted to and expected to depart the facilities in accordance with times specified on the contract. Should the function continue after the contracted hours or the event begins prior to the contracted time as specified in Section 7, additional room charges and/or labor charges of $250 per hour will apply. Said room charges are due at the time of booking the event.<br><br> Early arrival will result in additional charges and may not be allowed. Should an event still be in progress or set up of room not completed, guest will be asked to wait until the room is available. All early arrivals must be scheduled through the catering office and will result in additional rental charges.<br><br> Catering Policies Page 4 12. INDEPENDENT CONTRACTORS All independent contractors performing services at Sun City Lincoln Hills Community Association, Inc. for customers must have prior written approval.<br><br> 13. PRICE GUARANTEE All prices are guaranteed for 90 days prior to the function. Any function booked beyond 90 days will be subjected to price/menu changes without prior notice.<br><br> 14. LINCOLN HILLS GOLF COURSE The Lincoln Hills Golf Course is not a part of Sun City Lincoln Hills Community Association (Orchard Creek Lodge). It is owned by another entity and Sun City Lincoln Hills Community Association does not control operation of the course.<br><br> This includes golfers on the course and the water features located on the golf course. If customer requests that water features be running during their event, we will make every effort to accommodate, however we cannot guarantee any operation on the golf course. 15.<br><br> CANDLES " Tapered candles must be enclosed in a hurricane globe with a substantial base so the candle doesn 9t fall over. " Votive candles must be enclosed in some sort of hurricane device. " Floating candles are allowed as long as the container they are in allows for 2 d below the rim for the water line.<br><br> " No exposed flames at all. " Candelabras for short ceremonies inside the ballroom are approved " All centerpieces or decorations incorporating candles must be pre-approved by the catering department prior to the scheduled event to ensure that all guidelines are met. 16.<br><br> AMPITHEATER It is the responsibility of the client to remove all decorations from the Amphitheater within 2 hours of the end of their scheduled event. The catering staff is not responsible for removing or transporting any decorations. A two-hour minimum rental fee will apply to all events. 2.<br><br> A minimum food purchase of $10.00 per person for lunch is required to qualify for discounted room rentals. The minimum food purchase for dinner is $17.50 per person (Monday through Thursday) 3. A minimum food order of $25.00 per person is required for Friday, Saturday & Sunday.<br><br> 4. Dinner prices will apply to all events after 2:00 PM Monday through Thursday. 5.<br><br> Dinner prices will apply to all events Friday, Saturday & Sunday (Breakfast excluded). 6. Ballroom times available on Saturday during April through September will be 10:00 AM to 3:00 PM or 5:00 PM to 11:00 PM.<br><br> 7. A $250.00 per hour staffing overtime charge will apply to all events held after 11:00 PM. 8.<br><br> A minimum of 20 persons is required for catered events. A minimum of 35 persons is required for a buffet. (Breakfast excluded) A minimum of 125 persons is required to rent the ballroom on Saturday.<br><br> 9. No function will be held after 11:00 PM without prior approval.
